Meeting minutes

Minutes signed off, not stuck in someone’s inbox

Write, approve and e-sign the minutes without leaving Hippoly. Done and filed while the decisions are still fresh.

Start the minutes your way

Start from the agenda, a blank page or the last meeting’s minutes. Pick the agenda and every item’s already there as a heading.

As secretary, you’re the only one who sees the draft until you share it. When you do, everyone at the meeting gets a notification and can follow along.

From notes to finished minutes

Take notes as the meeting runs. When it’s time to turn them into minutes, hi, Hippoly’s AI assistant, can suggest the wording.

When the draft’s ready, send it out for review first, or straight for signing. Either way, the right people hear about it, and nobody has to chase comments by email.

Review and approval, without the email back-and-forth

Many boards circulate the draft before it’s signed, to the chair first or to the whole board. Whoever you appoint is notified the moment the draft goes out for review, and one click opens it in review mode.

Comments and suggested changes land in the minutes themselves, and you get a notification for each one. No stray versions, and no doubt about which text is current.

Signed without leaving Hippoly

Send the minutes for signing from Hippoly. There’s nothing to export or upload anywhere else, and you can add meeting materials to the same package if you want them signed with the minutes.

Everyone signs from a link in their email. For each signer, choose a single click, a one-time code by text for an extra check, or a national e-ID where available. Watch the signatures come in, and nudge anyone who hasn’t signed yet.

Filed without anyone filing it

Once the minutes are signed, they’re locked and the signed PDF goes into the meeting folder, where every participant can read it. When the auditor asks, or someone needs to understand an old decision, it’s a few clicks away.

Moving from another tool? Bring your history with you. Import older minutes as Word or PDF files, and upload files, folders and whole archives whenever it suits you.
