Board management software
A board portal built to be used, not just bought
Meetings, documents, decisions and e-signatures in one secure place. Simple enough that the whole board actually uses it.
Used by boards in businesses and nonprofits
The whole board, not just the secretary
You know the moment. The board pack went out on Friday, and by Monday two members are asking for it by email because the portal was one login too many. Hippoly is built for that member. Nothing to install, nothing to learn, and it works on the phone on the way to the meeting exactly as it does at the desk. You set it up yourself and run the next meeting without a sales call. The whole board in, the board pack out of the inbox.
Plan and prepare board meetings
Plan one meeting at a time or the whole year ahead. Notice, agenda and board pack stay together, and everyone turns up prepared.
-
Meetings, events and actions for the whole board year, in one shared view. Add things as they come up or plan months ahead. The budget and the AGM are planned long before they’re urgent.
-
Set the date, send the notice, and the meeting goes straight into everyone’s calendar. Build the agenda from scratch or from a template and attach each document to its item. Members read it all in Hippoly, with nothing to download and nothing buried in email.
-
Make notes on the board pack and the agenda as you read, and highlight what you want to raise. Your notes are yours alone. When the item comes up, one click takes you back to the passage you marked.
From meeting to signed minutes
Write the minutes as the meeting runs, then have them reviewed, approved and signed without leaving Hippoly. No waiting for the next meeting to sign them off.
-
Start the minutes from the agenda and every item is already there as a heading. As the meeting runs, the secretary writes in the meeting view and only has to add what was discussed and decided. When the draft needs tidying up, hi, Hippoly’s AI assistant, can suggest the wording.
-
The people you appoint read the draft and comment on the text itself. Every remark lands in the right place. No more piecing together feedback from five email threads. When they’re done, you send the minutes for signing.
-
Choose who signs, the chair alone or the whole board. Each signer gets a link by email and signs in a click. Add a one-time code by text when you want an extra check, or use a national e-ID where available. Once the minutes are signed, the PDF files itself in the meeting folder, ready for the next audit.
Keep things moving between meetings
Follow up on decisions, handle what can’t wait and keep everyone in the loop, without starting another email thread.
-
Turn each decision into an action with an owner and a due date. Owners get reminders automatically, and the board can see what’s open, what’s overdue and what’s done.
-
Keep the board’s documents in one encrypted place. They stay put when members come and go. Signed minutes are sorted by year, so last spring’s decision is a couple of clicks away.
-
Post an update and the whole board is notified, with a record of who’s read it. Files go up with the post they belong to, and a new member can read back through the whole conversation. For a quiet word, message one person or a small group. Only the people in the conversation can open the files you share there.

Board portal, or email and shared drives?
Email works. Right up until it doesn’t. The auditor asks for last year’s minutes and three people search three inboxes. A new member joins and inherits a forwarded thread instead of a history. The chair steps down and the archive leaves with their laptop.
We call it board debt, the gap between how the board works and how it is documented. It grows quietly and falls due at the worst moment, in an audit, a sale or a dispute. Five minutes tells you how much you carry.
Security for your board’s most sensitive information
Only the people entitled to see them should see personal data, financials and board decisions. In Hippoly each board’s workspace has its own encrypted database with its own keys. Every sign-in is strongly authenticated, with two-factor verification or a national e-ID where available. Everything is stored in the EU.

Frequently asked questions about board portals
-
What does a board portal do?
A board portal brings the core of board work together: notices, agendas, board packs, minutes, decisions and signatures. Instead of email threads and scattered folders, everything sits in an encrypted environment. Every member logs in securely and always sees the latest version.
-
What’s the difference between a board portal and board management software?
They’re two names for the same thing. “Board portal” is the older term and describes where the board logs in. “Board management software” describes what it does: planning meetings, sharing the board pack, writing and signing minutes, recording decisions and following up actions. Hippoly is both, and we use the terms interchangeably.
-
What’s included in Hippoly’s board portal?
Everything before, during and between meetings. You send the notice and build the agenda with the documents attached to each item. The secretary writes the minutes during the meeting, and the people you choose review, approve and e-sign them without leaving Hippoly. Between meetings, you follow up decisions and actions in the same place as your documents, discussions and messages.
-
Does the board portal work on phones and tablets?
Yes. Hippoly has apps for iOS and Android, on the App Store and Google Play. You get notifications on your phone or tablet, and you can do everything there that you can on a computer.
-
Which board portal is best?
The one the whole board actually uses, and that supports the work between meetings as well as the meetings themselves. So compare how easy it is for every member to get started, not just the person who’ll run it. Then factor in security, price and how well it fits your kind of organisation. Hippoly is built to be simple however comfortable your members are with technology. Each member chooses how to sign in, and nobody is locked out for lack of a particular login.
-
What does Hippoly cost?
One fixed price per board, however many members you have. Nonprofits have their own, lower prices. You can use Hippoly free for as long as you like, with a cap on meetings and e-signatures. All prices exclude VAT.
-
Are e-signatures in the board portal legally binding?
In most cases, yes. Electronic signatures are recognised in the EU under eIDAS, in the UK under UK eIDAS and in the US under the ESIGN Act and UETA. E-signing in Hippoly is powered by Scrive, and every signed document comes with a full audit trail. What a particular document needs depends on the document and the country, so check before you sign. This is general information, not legal advice.
-
Which e-IDs can signers use?
Swedish BankID, Norwegian BankID, Danish MitID and Finnish FTN. Signers without one sign in a click or with a one-time code by text message, and you choose the method for each signer.
-
Why a board portal rather than Microsoft 365 or Google Workspace?
Microsoft 365 and Google Workspace are general office platforms, not built for how a board works. Two differences matter most.
Boards often include external or non-executive members who aren’t on the organisation’s own systems. In Hippoly they sign in securely with an account of their own.
And some board matters shouldn’t sit where the organisation’s IT administrators can open them. Hippoly gives the board a separate, encrypted workspace, and only the board decides who’s in it.
-
How do we get started with a board portal?
Create an account, set up your organisation and invite your members by email. It takes a few minutes, with no credit card and nothing to install. Upload your latest minutes and Hippoly sets up the basics, ready for your next meeting.
-
Can we get help getting started?
Yes, and it’s free. Contact us through the support chat or book a video call, and we’ll get you set up.
-
Can we try a board portal for free?
Yes. You can start free, with no time limit. Discussions, messages and actions are unlimited, and meetings and e-signing come with a small allowance to try them. Upgrade when you’re ready, if you ever need to.
-
Is a board portal worth it for a board of three?
Yes. On a small board the work falls on a few people. It matters that notices, minutes and decisions are in one place, not with whoever happens to have them. The price is fixed per board, not per member, and nonprofits have their own, lower prices.
-
Can we move our old minutes into a board portal?
Yes. Import minutes from your old tool as Word or PDF files, and upload files, folders and whole archives from the service you used before. Old meetings, decisions and actions come across quickly, whenever you like, not just when you start.

The most overlooked factor when choosing a board portal
And why ignoring it could cost you adoption, efficiency, and trust. When organizations set out to choose a board portal, the checklist usually looks familiar, but the truth nobody tells you is that if the platform is not easy to use, none of it really matters.

Why email is a poor tool for board communication
Email may seem like a convenient way to handle board communication. It's familiar, fast, and everyone has access to it. But beneath the surface, email is a risky and outdated tool for sharing sensitive information.
